Corrective-action support

Organise an institution's response to a formal finding with clear actions, accountable owners and evidence of implementation. IESG can assist with the preparation and coordination work while the institution carries out the changes within its responsibility.

When support may be useful

An institution may need help coordinating several teams, maintaining a response record or distinguishing an immediate correction from work needed to prevent recurrence. The starting point is the actual finding and the process under which a response has been requested.

Provide the case reference and a short account of the support needed. Arrange an appropriate channel before sharing the full finding or confidential evidence.

Understand the recorded issue

The team needs to know the matter identified, its stated basis and the evidence relevant to the response. If part of the finding is unclear, seek clarification through the proper route before building a plan on an assumption.

An internal disagreement should be recorded and handled using the applicable procedure. It should not be concealed by changing the wording of the finding in an institutional tracker.

Assign actions within the institution

The action plan records the response, accountable person, resources, target date and implementation evidence. It also identifies decisions required from leadership or another body and their effect on progress.

The institution must determine and implement the operating response. A document-preparation task alone cannot resolve a problem in practice if the relevant activity continues unchanged.

Manage implementation and supporting records

Keep a record of what was changed, when it took effect and who approved it. Supporting material may include revised arrangements and records showing their actual use, depending on the matter concerned.

Evidence should relate to the finding and the agreed scope. Avoid sending large collections of unrelated material that obscure the change. Do not backdate records or present a planned action as completed.

Prepare a coherent response

The response should connect each part of the finding with the institution's action and supporting material. The institution checks the accuracy of its account and confirms the versions intended for formal use.

Coordination can help manage requests, missing contributions and the transmission record. The person responsible for the case should remain able to identify any action still incomplete or any point awaiting clarification.

What the support can deliver

The agreed work may produce a response tracker, responsibility schedule, evidence index, institutional confirmation record and coordinated material package. A follow-up note can identify work still outstanding and the dependency preventing progress.

These preparation records connect the institution's response with the actions implemented and the evidence available. Outstanding work and dependencies remain visible.

Formal verification and closure

ICEQC determines the status of a formal finding through its own process. IESG cannot close a finding, change a conformity conclusion or promise the result of the response.

Personnel involved in preparation must respect the separation from the official certification functions. Institutions should read the role explanation when deciding what assistance to commission.

Roles and independence

The evidence guide explains source and version control. The self-review tool can help assign the institution's internal tasks without presenting them as an official assessment.

Discuss the work required

Tell us the stage, the functions involved and the coordination problem your institution needs to address. We can then establish whether a bounded task or continuing preparation support is appropriate.
